ICES Elections for Board of Directors
Elections
Elections for ICES Board of Directors and Officers are held annually.
Elections will be held during the General Membership Meeting on Thursday, July 22, 2021, at 7:00 PM CST in the Fort Worth Ball Room’s 4 & 5 of the Omni Fort Worth Hotel in Fort Worth, Texas.
Members in good standing 30 days prior to the meeting are eligible to vote.
Absentee Ballot Request - May 1st thru June 20, 2021. Must be Post by July 9, 2021.
Absentee Ballots allows members to vote on the candidates and/or issues as they appear on the ballot(s). Absentee voting allows you complete control over choosing the candidates for whom you wish to vote. Your vote will count if the Absentee Ballot is postmarked by July 9th and received before Cake Expo. Please note that by voting absentee, you will have no voice in any items that may be brought to a vote at the General Membership Meeting. You can assign another member your rights to vote by proxy if you would like to have a vote on all matters and any candidates nominated from the floor.
To request an Absentee Ballot, complete the Absentee Ballot Request form. Ballots must be postmarked by July 9, 2021.
Proxy Ballots
The ICES Membership Coordinator will accept proxies at the Membership table during Cake Expo and will verify the membership of the individuals submitting proxies and carrying proxies for other.
- This will be open any time the Membership Table is open; however, no proxies will be accepted registered after Wednesday, July 21, 2021, 7:00 pm (CST), 24 hours before the General Membership Meeting (GMM) at Cake Expo 2021.
- All members shall have the right to vote by proxy. A proxy may only be assigned to a member in good standing of this organization.
- Proxies must be in writing following the provided format as set by the Board of Directors.
- A proxy must be submitted no more than three (3) months before the GMM and will expire upon the adjournment of the meeting for which it is issued.
- Proxies must bear the original signature of the member.
- Proxies will be allowed at any membership meeting of this organization whether scheduled or specially called and will allow the carrier to vote on any matter brought up at said meeting.
- The proxy is revocable at the pleasure of the Member executing it.
- No more than five (5) proxies may be voted by one (1) member at a meeting.
- Proxies must be registered at the Membership Table at Cake Expo 2021. The proxies will be placed in an alphabetic file under the last name of the bearer.
- At the time the proxies are registered, inform the holder when and where they are to pick up the proxy ballots/voting sheets. Each member must pick up his/her own ballot.
- If the membership status of the people sending proxies is not current, disallow that proxy.
- NO PROXY BALLOTS/VOTING SHEETS WILL BE GIVEN OUT UNTIL THURSDAY EVENING BEFORE THE General Membership Meeting.
- All proxy requests shall be verified by the Secretary prior to the election.

To run for the ICES Board of Directors, you must:
- You have been a member in good standing of the Societé for at least two (2) consecutive years immediately prior to nomination.
- Have attended one (1) annual meeting (General Membership Meeting) and one (1) midyear or annual representatives’ meeting.
- Understand that if you are elected, you will serve a three-year term during which you will serve on any committees assigned to you and handle all assignments with promptness.
- Further understand that you are to attend all Board of Directors Meetings.
- Run for office during your second and third years on the Board and uphold the bylaws of the organization with pride.
Job Description in Brief
An abridged version of all Committees on the ICES Board of Directors may be found on the Job Description in Brief Page. When running for the Board, you will be asked for your top 3 committees you would like to be on and your least 3 favorites. All requests will be taken into consideration, but it is up to the incoming President to appoint committee positions.
BOD Nominations/Acceptance - January 1st thru July 22nd Nominations closes with Floor Nominations
This form combines the Officer Nomination and Acceptance forms, Director Nomination and Acceptance forms, and the Committee Preference and Biography forms.
- Nominate an ICES Member to the Board of Directors
- Only forms submitted before March 15 will appear in the ICES newsletter.
- Any nominations received after March 15th and before 12:00 p.m. ET on the Wednesday of Convention week, will be added to the election ballot, which is printed on the Thursday of Cake Expo.
- Any nominations made after 12:00 p.m. ET on the Wednesday of Cake Expo week must be made as a floor nomination.
- All nominations require a completed nomination form, nominations acceptance form, biography, photograph, and committee preference form. These must be submitted to the Business Chairman prior to the beginning of the General Membership Meeting.
- The candidate must be approved by the Business Chairman prior to being nominated from the floor.

- You will need a Picture and Biography.
- I have been a member in good standing of the Societé for at least two (2) consecutive years immediately prior to nomination.

- I understand that if I am elected, I will serve a three-year term during which I will serve on any committees assigned to me and handle all assignments with promptness.
- I further understand that I am to attend all Board of Directors Meetings.
- Run for office during my second and third years on the Board and uphold the bylaws of the organization with pride.
- Decline the Nomination to serve on the ICES Board of Directors at this time.
BOD Committee Preferences Form - 2nd and 3rd year only
This form is used by current BOD for Accepting another term on the ICES Board of Directors and desired Committee Positions and now has been incorporated in the Nominations and Elections form.
